Client Background
WrkOS is a product-launch ecosystem designed to help startups, SaaS businesses, and engineering teams accelerate the journey from product idea to market. Instead of building independent software products, the Client envisioned a connected platform where documentation, content management, collaboration, publishing, and organization management operate from one unified ecosystem.
The platform brings together multiple products including a Documentation & API Documentation platform, an SEO-first CMS engine, a Notion-style collaborative editor, and a complete organization management system. Every module shares the same authentication, branding, collaboration engine, and infrastructure, allowing customers to manage their entire product ecosystem from one workspace while publishing everything under their own brand and custom domain.
Our engagement extended beyond traditional software development. We partnered with WrkOS as their long-term product design and engineering team, owning both UX/UI design and full-stack development across multiple product releases. Every module progressed from a production-ready MVP into a hardened Version 1 while sharing one scalable architecture designed for long-term platform expansion.
The platform supports multiple user types:

Challenges
Building WrkOS required much more than developing individual software products. The Client's vision depended on creating one shared platform capable of powering multiple independent applications without compromising performance, flexibility, or tenant isolation.
Several architectural challenges shaped the development process.
True multi-tenant architecture required every organization to maintain completely isolated users, branding, content, analytics, permissions, and domains while operating from the same infrastructure. The platform needed to guarantee secure tenant isolation as organizations and products continued to grow.
Shared editing experience required one powerful block-based editor capable of serving two completely different products. Marketing content demanded SEO-friendly publishing workflows while technical documentation required structured navigation, versioning, and developer-focused formatting. Building separate editors would have duplicated engineering effort and created inconsistent user experiences.
White-label publishing required every customer to publish blogs, documentation, announcements, and product content on either subdomains or completely custom domains while preserving SEO integrity, SSL security, metadata, and search visibility automatically.
Scalable product architecture required each module to launch quickly as a production-ready MVP before evolving into enterprise-ready Version 1 releases with stronger security, role management, audit capabilities, and infrastructure hardening without requiring major architectural changes later.
The objective was to build one shared SaaS platform that continuously compounds in value as new products, modules, and capabilities are added to the ecosystem.

WrkOS was developed as a modern multi-tenant SaaS platform where multiple products share one technical foundation rather than operating as independent applications. Authentication, organization management, permissions, branding, collaboration, publishing, analytics, and infrastructure are centralized, allowing every new module to inherit the same core capabilities without rebuilding common functionality. The platform is powered by Node.js, Express.js, TypeScript, Next.js, Prisma ORM, and PostgreSQL, with AWS S3 handling storage, AWS SES managing email delivery, AWS SNS supporting notifications, and Docker providing reproducible containerized deployments. Every production environment uses encrypted databases together with regular security reviews, ensuring enterprise-grade reliability while maintaining rapid product iteration.
Deployment Topology
Organizations onboard through a centralized workspace where administrators configure branding, domains, analytics, security, and user permissions before enabling the platform's individual products. Customers publish documentation, blogs, announcements, API references, and marketing content directly from the shared editor while every module operates under the organization's own branding and custom domain. The CMS, Documentation Platform, Organization Management, and collaborative editor all communicate through the same multi-tenant infrastructure, allowing improvements made to the shared platform to benefit every product simultaneously. CMS Engine — A fully customizable SEO-first content management platform allowing organizations to publish blogs, product announcements, release notes, news, and marketing content directly on their own websites. Customers maintain complete ownership through custom domains or sub-directory deployments while benefiting from semantic content structures, optimized metadata, scheduling, and search-friendly publishing workflows.
Documentation & API Documentation Platform — A modern documentation platform built for product guides, technical knowledge bases, developer documentation, and API references. Positioned as an alternative to platforms such as Mintlify and GitBook, it enables organizations to maintain continuously evolving documentation while sharing the same publishing infrastructure and editing experience as the CMS.
Shared Notion Style Editor — The collaborative editing engine serves as the foundation for both CMS and Documentation products. The block-based editor supports structured content, inline editing, rich formatting, and real-time collaboration through a lossless synchronization engine that prevents data conflicts and enables multiple users to edit documents simultaneously without risk of overwriting content.
Organization & Workspace Management — Organizations independently manage branding, custom domains, user invitations, role-based permissions, active sessions, analytics integrations, security settings, and workspace preferences from a centralized administration area. This module enables every customer to operate a completely white-labeled platform tailored to their own organization.
White Label Publishing — Every organization publishes documentation, blogs, announcements, and marketing content using its own branding, domain, analytics, and identity. WrkOS remains completely invisible to end users, allowing customers to deliver fully branded digital experiences without exposing the underlying platform.
Multi Tenant Platform Foundation — Every module operates from the same authentication system, organization model, collaboration engine, and infrastructure while maintaining complete tenant isolation. This architecture allows future products to be introduced rapidly without rebuilding core platform capabilities.
Data Model & Access Control
The platform follows a fully multi-tenant architecture where organizations, users, workspaces, documentation, CMS content, branding configurations, analytics, domains, permissions, and publishing environments remain completely isolated across every tenant. Shared platform services provide authentication, collaboration, publishing, notifications, and infrastructure while ensuring data belonging to one organization is never accessible by another.
Role-based access control governs organization owners, administrators, developers, editors, marketers, and team members through configurable permission models. Every organization independently manages user invitations, workspace roles, active sessions, branding, custom domains, analytics integrations, publishing permissions, and security policies. Because all products share one authentication and permission framework, new modules automatically inherit enterprise-grade security without additional implementation effort.
